BUSINESS PROBLEM


Companies spend millions on office real estate, yet their spaces stay underutilized. Without the right tools, admins can’t optimize usage or enforce the right policies. The result is wasted costs and a poor employee experience.

MY ROLE


Designed the Admin Portal for space management and the booking experience on mobile. Partnered with a product designer, a content designer, product leads, and engineering to ship in three months, driving user testing, critiques, and rapid iterations throughout.

STATUS


Went live in June 2025, rolling out to enterprise customers across the Microsoft 365 ecosystem.

Microsoft Places

Optimizes real estate usage through fewer empty desks and better workplace policies. Improves employee experience with smarter, more intuitive desk booking. Integrates tightly into the M365 ecosystem, including Outlook, Teams, and Copilot, for seamless adoption.

Personas

Administrators: Lack of required data, insights and space allocation tools to drive real estate optimization and to help business leaders making policy and space decisions.

Employees: It is challenging to connect with colleagues, build a network, manage people and work productively with a dispersed team.

Admin Portal

Admin Portal

  • The portal helps facilities managers and workplace admins manage buildings, floors, rooms, desks, and their availability across multiple office locations

  • The space list uses collapsible sections for each floor and area, following a file explorer-style hierarchy that makes it easy for admins to scan, navigate, and manage large, multi-level office layouts.

  • The right panel provides a detailed view of space properties, including floor, section, capacity, accessibility, and device configurations, helping admins quickly understand the setup of any selected room or desk.

  • It also supports in-place editing, allowing admins to update space information without navigating away from the main workspace.

  • Designed the create flow as a focused modal that lets admins quickly input essential room details like location, capacity, and device setup in one place.

  • It keeps the experience efficient and anchored by allowing room creation without breaking context or leaving the main workspace.

Employee Portal

Employee Portal

  • Designed the employee app to simplify desk booking through a visual floor map, personalized suggestions, and cues like team location and collaborator proximity.

  • The interface highlights key desk features upfront, helping employees make quick, informed booking decisions without extra steps.

  • We built the search flow to let employees find people, desks, or sections effortlessly, supporting quick decisions about where to sit based on team presence or planned schedules.

  • Once a person is selected, the interface surfaces their location on the floor map and highlights nearby available desks, helping users book a spot that keeps them close to collaborators.
